Privacy Policy
WoeWoe values your privacy greatly. We therefore only process data that we need for (improving) our services and handle the information we have collected about you and your use of our services with care. We never make your data available to third parties for commercial purposes.
This privacy policy applies to the use of the website and the services provided by WoeWoe. The effective date of these terms is January 14, 2022. With the publication of a new version, all previous versions become invalid. This privacy policy describes what data we collect about you, how this data is used, and with whom and under what conditions this data may be shared with third parties. We also explain how we store your data, how we protect your data from misuse, and what rights you have regarding the personal data you have provided to us. If you have any questions about our privacy policy, you can contact our privacy contact person, whose contact details are at the end of this privacy policy.
About Data Processing
Below, you can read how we process your data, where we store it, what security measures we use, and who can access the data.
WooCommerce
Our online store is developed with WooCommerce software. Personal data you provide for our services is shared with this party. WooCommerce has access to your data to provide us with (technical) support, but will never use your data for any other purpose. WooCommerce is obligated, based on the agreement we have with them, to take appropriate security measures. These measures include the use of SSL encryption and a strong password policy. WooCommerce uses cookies to collect technical information about your use of the software; no personal data is collected or stored. WooCommerce reserves the right to share collected data within its own group to further improve the services.
We collect reviews on our website via WooCommerce. If you leave a review through WooCommerce, you are required to provide your name and email address. WooCommerce shares this data with us so that we can link the review to your order. WooCommerce has taken appropriate technical and organizational measures to protect your personal data.
Vimexx
Our online store is developed with WooCommerce software, and we have chosen Vimexx for our web hosting. Personal data you provide for our services is shared with this party. Vimexx has access to your data to provide us with (technical) support, but will never use your data for any other purpose. Vimexx is obligated, based on the agreement we have with them, to take appropriate security measures. These measures include SSL encryption and a strong password policy. Regular backups are made to prevent data loss.
We use Vimexx for our web hosting and email services. Vimexx processes personal data on our behalf and does not use your data for its own purposes. However, this party may collect metadata about the use of the services. These are not personal data. Vimexx has taken appropriate technical and organizational measures to prevent loss and unauthorized use of your personal data. Vimexx is bound by a confidentiality agreement.
For our regular business email communication, we use Vimexx’s services. This party has taken appropriate technical and organizational measures to prevent misuse, loss, and corruption of your and our data as much as possible. Vimexx does not have access to our inbox, and we treat all our email communication confidentially.
DPD and PostNL
When you place an order with us, it is our task to deliver your package to you. We use the services of DPD or PostNL for deliveries. It is necessary for us to share your name, address, and residence details with DPD or PostNL. DPD or PostNL use this data solely for the purpose of fulfilling the agreement. If DPD or PostNL engages subcontractors, DPD or PostNL will also provide these parties with your data.
E-boekhouden
For keeping our administration and accounting, we use the services of E-boekhouden. We share your name, address, and details about your order. This data is used to administer sales invoices. Your personal data is protected during transmission and storage. E-boekhouden is bound by confidentiality and will handle your data confidentially. E-boekhouden does not use your personal data for purposes other than those described above.
General Purpose of Processing
We use your data solely for the purpose of providing our services. This means that the purpose of processing is always directly related to the assignment you provide. We do not use your data for (targeted) marketing. If you share data with us and we use this data to contact you at a later time, other than at your request, we will ask you for explicit consent. Your data is not shared with third parties, except to meet accounting and other administrative obligations. These third parties are all bound by confidentiality based on the agreement between them and us or a legal obligation.
Automatically Collected Data
Data that is automatically collected by our website is processed to further improve our services. This data (such as your IP address, web browser, and operating system) is not personal data. Cooperation with fiscal and criminal investigations, if applicable, may require WoeWoe to share your data in connection with fiscal or criminal investigations by government authorities. In such a case, we are compelled to share your data, but we will resist this within the legal possibilities.
Retention Periods
We retain your data as long as you are a client of ours. This means that we keep your customer profile until you indicate that you no longer wish to use our services. If you do this, we will also treat it as a request to be forgotten. Due to applicable administrative obligations, we must retain invoices with your (personal) data for the applicable retention period. However, employees no longer have access to your customer profile and documents that we have produced based on your assignment.
Your Rights
Under applicable Dutch and European legislation, you have certain rights concerning the personal data processed by or on behalf of us. Below, we explain what these rights are and how you can exercise them. In principle, to prevent misuse, we will only send copies of your data to the email address we already have on file. If you wish to receive the data at a different email address or by post, we will ask you to verify your identity. We keep a record of handled requests, and in the case of a request for erasure, we will maintain anonymized data. All copies and extracts of data are provided in the machine-readable format we use within our systems. You always have the right to file a complaint with the Data Protection Authority if you believe we are using your personal data incorrectly.
Right of Access
You always have the right to view the data that we (or third parties on our behalf) process and that relates to you or is traceable to you. You can make a request to our privacy contact person. You will receive a response to your request within 30 days. If your request is granted, we will send you a copy of all data we have processed or that has been processed on our behalf, along with an overview of the processors holding this data and the category under which we have stored it.
Right to Rectification
You always have the right to have the data that we (or third parties on our behalf) process and that relates to you or is traceable to you corrected. You can make a request to our privacy contact person. You will receive a response to your request within 30 days. If your request is granted, we will send you a confirmation at your known email address that the data has been corrected.
Right to Restriction of Processing
You always have the right to restrict the processing of data that we (or third parties on our behalf) process and that relates to you or is traceable to you. You can make a request to our privacy contact person. You will receive a response to your request within 30 days. If your request is granted, we will send you a confirmation at your known email address that the data will not be processed until you lift the restriction.
Right to Data Portability
You always have the right to have the data that we (or third parties on our behalf) process and that relates to you or is traceable to you transferred to another party. You can make a request to our privacy contact person. You will receive a response to your request within 30 days. If your request is granted, we will send you copies of all data about you that we have processed or that has been processed on our behalf by other processors or third parties, to your known email address. In such a case, we may not be able to continue providing the service, as the secure linking of data files may no longer be guaranteed.
Right to Object and Other Rights
In certain cases, you have the right to object to the processing of your personal data by or on behalf of WoeWoe. If you make an objection, we will immediately halt the data processing pending the resolution of your objection. If your objection is well-founded, we will provide copies or extracts of the data we have processed on your behalf and will then cease processing the data permanently. You also have the right not to be subjected to automated individual decision-making or profiling. We do not process your data in such a way that this right applies. If you believe this is the case, please contact our privacy contact person.
Cookies
If third-party software solutions use cookies, this is mentioned in this privacy statement. Please also see our cookie policy.
Changes to the Privacy Policy
We reserve the right to change our privacy policy at any time. However, you will always find the most recent version on this page. If the new privacy policy affects the way we process data already collected about you, we will inform you by email.
